Position Overview:

The Clerical Specialist III for the Reception and Mailroom Units is responsible greeting and guiding all visitors to their appropriate appointments and/or addressing concerns, obtaining proper identification and answering the main phone lines for the State Attorney’s office. This position is cross trained to provide assistance in both the Reception and the Mailroom as needed. The work shift for this position is: 8:30 a.m. to 5:00 p.m.

The Job Responsibilities are:

In Reception
• Meeting and greeting all visitors
• Assisting with the coordination of scheduled appointments
• Ensuring that all visitors are properly screened
• Acquiring and verifying proper identification prior to providing building access
• Announcing visitors and/or clients upon their arrival
• Conducting detailed research in various databases to locate case information
• Researching various databases and internal systems to determine the appropriate location for visitors who arrive without case and/or appointment information
• Providing community resources information when applicable
• Assisting and coordinating defense deposition room reservation requests via our website
• Conducting extensive phone and public contact and at times with very hostile individuals
• Performing other related duties as assigned

In the Mailroom
• Receiving, clocking in, scanning and distributing an abundance of incoming mail
• Identifying Original Certified documents
• Electronically routing all e-service mail to the appropriate unit
• Conducting detailed research in various databases to locate case information
• Conducting extensive phone and public contact
• Processing all USPS/Certified outgoing metered mail
• Providing copier services
• Receiving and distributing incoming packages
• Performing other related duties as assigned

The Minimum Requirements are:

• High School Diploma or its equivalent
• Two (2) years clerical experience
• Successful completion of a Skills Test

The Preferred Qualifications and Skills are:

• Fluency in English/Spanish

Starting Annual Salary: $27,040.08
